INFORMATION SHEET

 (Please read this note carefully and carry a copy on your travel to the workshop)

This information sheet is intended to inform you of the necessary preparations before your travel and of what you can expect once you have arrived in Arusha.

Online registration of all participants is compulsory and shall be done by 30 September 2022 at the link provided in the invitation letter.

 

AIR TICKETS

World Organisation for Animal Health – WOAH will cover travel costs (economy class with the most direct route) for funded participants and speakers. The travel unit in Paris or the regional office in Nairobi (please refer to what is mentioned in your invitation letter) will purchase air tickets for international flights and send all relevant details to the e-mail address provided by participants in their online registration form.

Please note that, by accepting their flight itinerary, participants agree to cover any charges and fees resulted from modifications requested for personal reasons after the issuance of the ticket.

Any funded participant wishing to purchase – for exceptional reasons – his/her air ticket by him/herself, must compulsorily inform WOAH in advance, providing the provisional booking/invoice before confirming the flight reservation. In this case, and in addition to the beforehand formal agreement with WOAH, the original of both ticket invoice and boarding passes will be required for reimbursement of the economic fare.

 

VISA REQUIREMENTS

All participants are responsible to enquire on the visas and/or transit visas required and make the necessary arrangements to obtain them for the full round trip. Participants are requested to contact the relevant Consulate, High Commission or Embassy in their countries to make all necessary arrangements.

FOREIGNERS seeking to enter the United Republic of Tanzania should be in possession of a valid passport.  The passport is to be presented to the Immigration Control Officer at any entry point: border station, airport, harbour.  The passport which is valid for not less than six months must be presented along with a valid visa (where applicable).

Upon complying with the entry requirements, a visitor is issued with a Visitor’s Pass with validity not exceeding three months (and not exceeding six months for citizens of EAC Member States).

VISA is permission granted to a foreigner who intends to travel to Tanzania on business, for a holiday, to study or conduct research, or for other approved activities. When entering Tanzania, the visitor with a visa may then obtain from the immigration control officer, a pass or any other authority to enter the country.

Citizens of the following African countries do not require a visa to enter into Tanzania:

Nationals of the following countries require a “referred visa” to enter into Tanzania. A “referred visa” is one that requires special clearance from the Commissioner General of Immigration or the Commissioner of Immigration (Zanzibar) prior to issuance of the visa. Applicants whose nationals fall under referral visa category are not advised to book flight tickets or make any reservations before they get their visa.  For this workshop, this is applicable to nationals of :

Nationals of all other countries require an ordinary visa, which can be issued online, at any Tanzanian mission abroad (bring 2 passport size photographs) or the entry point (e.g. Kilimanjaro International Airport) in Tanzania.

The cost of the (single entry) visa is USD 50. Please ensure you can purchase the visa, possibly in exactly this amount. The visa will be reimbursed by WOAH upon presentation of the original visa or the receipt.

After full electronic payment, await approval (by e-mail), then download and print the e-visa from your eCitizen account. Present your printed e-visa to the immigration officer at the port of entry.

ACCOMMODATION

The accommodation of funded and self-funded participants will be arranged at the Four Points by Sheraton, Arusha- the Arusha Hotel.

Participants sponsored by WOAH have been booked at the Four points by Sheraton Arusha -the Arusha Hotel. WOAH will pay their hotel accommodation (bed and breakfast) directly. All other expenses (drinks, minibar, telephone, internet) must be paid by the participants on check-out.

Self-funded participants or participants, sponsored by other organisations, are welcome to make their own arrangements elsewhere, or at Four points by Sheraton Arusha, quoting the “WOAH” negotiated rate mentioned above.

 

PER DIEM

All funded participants will be provided with an ad hoc per diem taking into account all expenses directly covered by WOAH. The per diem provided to the participants will serve, amongst others, to pay for the dinners and to meet all other incidental costs. Other extra costs such as dinners, laundry, internet etc. shall therefore be paid for by the participants.

 

MEALS

Coffee/tea and lunches will be provided during the breaks scheduled in the provisional agenda of the workshop.  Breakfast is included in the price of the hotel room.

WOAH will host a dinner for all participants and speakers on the 7 December 2022.

Dietary or other special requirements shall be mentioned in the online registration form.

 

AIRPORT TRANSFERS

The WOAH Sub Regional Representation for Eastern Africa will organise transfer from/to the airport (Kilimanjaro International Airport – JRO) and Four points by Sheraton Arusha- the Arusha Hotel for funded participants.  After exiting the customs at the arrival hall, please look for the meeting person holding the placard “WOAH ”.

Self-funded participants are kindly invited to contact WOAH Sub Regional Representation for Eastern Africa for additional information on how to reach the meeting venue.

 

CURRENCY

The national currency, Tanzania Shilling (TZS) is used for all transactions in Tanzania.  In  July 2022, EUR 1.0 was traded for  TZS 2,450  and USD 1.0 was traded for 2,320.

 

 

MEETING VENUE AND LANGUAGE

The meeting will take place at the Four points by Sheraton Arusha- the Arusha Hotel where all participants and speakers will be staying. The meeting will be held in English as the main working language, with simultaneous interpretation to French. All presentations will be screened simultaneously in French and English.

HEALTH  ADVISORY

COVID-19

Travellers must provide proof of a negative PCR COVID-19 test. The test must be performed within 72 hours of departure from the first embarkation point.

Alternatively, passengers can present a vaccination certificate showing full vaccination at least 14 days before arrival. Accepted vaccines for Tanzania are:

Passengers who do not have a valid vaccine certificate or negative PCR test are subject to a COVID-19 test on arrival.

Other Vaccinations

 

A yellow-fever international certificate of vaccination is required to enter Tanzania. In addition, vaccinations against cholera, hepatitis A, polio and typhoid are recommended. It is also recommended for visitors to take a course of anti-malaria tablets, commencing two weeks before travel.

 

WEATHER AND CLOTHING

At the time of the workshop (December) the weather in Arusha will be relatively warm, with a slight chance of rain which is known are the “short rains”. The temperature goes anywhere between the 27 degrees Celsius to 32 degrees Celsius.

POWER

Voltage is 220 V (220-240V, 50Hz).  Sockets are of the British (UK) Standard 3-pin (picture).  Hotels usually provide for power adaptors at a nominal deposit which is refundable on return of the adaptor during check out.
